Who we are

Live Out Loud CIC is a Community Interest Company (registered at Companies House under number 17245881) supporting adults with additional needs in Banbury and the surrounding areas. We are the “data controller” for the information described here.

What information we collect

When you create a member account and use the member area, we collect:

• Account details you give us: your name, email address and phone number.
• Booking activity: the sessions you book, request, join a waiting list for, or cancel.
• Sign-in information: a secure record that keeps you logged in while you use the site.

Separately, as part of supporting you, our team may collect further information offline (for example about your support needs) during forms and one-to-one consultations. Where that information is sensitive, we handle it as described under “Sensitive information” below.

How we use it, and our lawful basis

We use your information to create and manage your member account, to take and manage your session bookings, to contact you about your bookings or account, and to run our services safely. Our lawful bases under UK GDPR are the performance of our services to you and our legitimate interests in running the organisation, and your consent where we ask for it. We do not sell your information or use it for advertising.

Sensitive information

Information about health, disability or support needs is “special category” data and is treated with extra care. Where we collect it, we do so with your explicit consent (or another lawful condition), use it only to provide appropriate and safe support, and limit access to those who need it.

Who we share it with

We only share your information with trusted service providers that help us run the member area, under agreements that require them to protect it:

• Supabase — securely stores the member database and handles sign-in (hosted in the European Union / London region).
• Netlify — hosts this website.
• Our email provider (Microsoft 365 and/or a transactional email service) — sends account and booking emails.

We do not share your information with anyone else unless we are required to by law, or to protect someone’s safety.

How long we keep it

We keep your account information for as long as you are a member, and for [add retention period, e.g. 24 months] afterwards, unless you ask us to delete it sooner or we need to keep it longer to meet a legal obligation.

Your rights

Under UK data protection law you have the right to: access the information we hold about you; ask us to correct it; ask us to delete it; restrict or object to how we use it; and request a copy in a portable form. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or 0303 123 1113.

Cookies and local storage

This site uses only essential storage: a secure token to keep you signed in, and a small setting to remember your accessibility choices (such as text size or dark mode). We do not use advertising or third-party tracking cookies.

Children

The member area is intended for adults. It is not designed for use by children under 18.

We may update this notice from time to time. When we do, we will change the “last updated” date at the top of this page.
